Privacy Notice — Hive Life Haven newsletter & project updates

PUBLISHED — v0.1 · Privacy Officer: Randall Frederick Broad · Effective the date below.

Version: 0.1 (published) · Effective: 2026-10-17 · Supersedes: none Controller: Hive Life Haven Inc. · Contact: buzz@hivelife.ca

1. Who we are

Hive Life Haven Inc. (Corporations Canada #1661181-8), 16 Lansdowne Ct, Riverview, New Brunswick E1B 3E3, Canada. We are the organization that decides why and how your information is used, and we are accountable for it. Our Privacy Officer is Randall Frederick Broad, reachable at buzz@hivelife.ca.

2. What we collect

Your email address — and nothing else. If you give it, we may also keep your first name so we can address you properly. We do not ask for and do not store your phone number, mailing address, employer, location, or any notes about you. We do not create profiles, and we do not record inferences about you. If something about you is not on the form, we do not hold it.

3. Why we use it

Two purposes, and only these two:

  1. to send you the monthly Hive Life Haven newsletter;
  2. to send you occasional updates about Hive Life Haven projects.

Any other kind of message — a donation request, an event promotion, a partner or sponsor offer, a product launch — is not covered by your consent. We would ask you separately, for that purpose, before sending it.

4. Why we are allowed to

Because you told us we could. You ticked a box on our sign-up form; you can untick your consent any time by unsubscribing. We record, for each consent: the date, how it was given, the words you were shown, and which version of this notice was displayed to you at that moment — so what you agreed to stays provable even after we update this page.

We then send you one confirmation email. You are subscribed when you confirm. If you never confirm, we erase the address within 30 days and you hear nothing further.

5. What we will never do with it

We do not sell, rent, trade or share your email address for anyone else's marketing. We do not enrol your subscription in advertising networks, behavioural profiling, cross-publication tracking or third-party data enrichment. We do not use your address to build advertising audiences.

6. Who else handles it

We use service providers to deliver email. They act on our instructions, under contract, and only for the purposes above. The provider currently in use is:

Your information is stored and processed outside Canada — stored in the European Union (France, Germany and Belgium). Personnel of our provider and its group companies may access it from the United States and India, under standard contractual clauses, and it is therefore subject to the laws of those jurisdictions. Where a provider's own terms would let it use your data for its own purposes, we exclude that in writing before importing your address. If we ever change providers, we publish a new version of this notice before your information moves.

7. How long we keep it

While you are subscribed, and if you go inactive, for up to 24 months of inactivity — then we reduce it: the readable address is replaced by a one-way hash, your details are erased, and the record is closed. We keep that hash so the address can never be re-added. Addresses that were entered but never confirmed are erased within 30 days.

8. Your choices

9. If something goes wrong

We keep a record of every privacy breach — reportable or not — for 24 months, including our reasoning about the risk. Where a breach creates a real risk of significant harm, we report it to the Office of the Privacy Commissioner of Canada and notify affected people as soon as feasible.

10. Questions or complaints

Write to buzz@hivelife.ca first — we will answer. You may also complain to the Office of the Privacy Commissioner of Canada (priv.gc.ca · 1-800-282-1376).

11. Changes to this notice

We will update the version number and effective date whenever this notice changes, and we do not rewrite history: every consent record keeps the version that was actually shown. If a change affects what you agreed to, we will ask you again rather than assume.
